SPEAKERS – Main Auditoria
Before event
- Slides must only be created in PowerPoint, saved as a .ppt or .pptx file. Screen ratio is 16:9, and please use the template provided.
- Download: CX 2026 White Background template
- Download: CX 2026 Blue Background template
- Add your institution logo to the bottom-right of the first slide
- The CX logo must remain on the bottom-left of the slide, as per the template
- Use the default blue font for text on all slides, as per the template. This will ensure content can be read easily against the blue background
- If an additional colour is needed alongside the blue, think about the other colour fonts and ensure they’re not too hard to read against the blue background
- Avoid decreasing the font size below 24 as it will be too hard to read.
- Please try to avoid using custom fonts within your presentation, as these may not display correctly, if custom fonts must be used, then please ensure these are properly embedded in your file – Guide to font embedding.
- Important: Save your presentation as filename ‘First name Last name – Presentation Day Time’
- Where videos are to be shown, please ensure these are correctly embedded in your PowerPoint presentation (Guide to video embedding). Check your slide advance and media play build options in the animations pane. Please also provide external copies of video files for backup purposes if possible (.mov or .mp4 video files will be accepted) – use the same file naming convention as the PPT files above but add the slide number that the video appears on at the end of the file name.
- Save as a PowerPoint file (.PPTX) please make sure that all additional material used in the presentation, images, charts, fonts and videos have been embedded into the PowerPoint file.
Note – PDF, Keynote, or other presentation filetypes will not be accepted. - You must submit your presentation(s) no later than the 17th April. Personalised DropBox links will be provided to you for you to upload your files to us.
- Check your name is spelt and appearing correctly in the programme on the CX Symposium website, this is how it will appear on stage
When you arrive
- Please register at the Faculty Desk in the CX Registration area, the team will direct you to the Speaker Ready Room to review or submit your presentations.
- You must attend the Speaker Ready Room to submit and check your presentations (even if you have pre-submitted). The team in the Ready Room will check your presentations with you, brief you on the stage equipment and processes, and will be able to answer any questions you may have.
- Please make sure you bring a copy of your presentation on a USB memory stick as backup, even if you have shared ahead of arrival.
- You must visit the Speaker Ready Room no later than 2 hours prior to the start time of your overall session, if you are in the first session of the day, please come the day before. Failure to do so could risk you not having the chance to check or submit your slides.
- The Speaker Ready Room and Lounge is located next to the registration area; you are welcome to come back as many times as necessary to update or check your presentation. There will be working areas in this lounge should you require.

Main Auditoria Faculty
When it’s time for your session
- Please arrive at the front of the stage no later than 15 mins before the start of your overall session and check in with the stage management team, who will be placed at the side of the room, indicated with a purple ‘Faculty’ banner. You will be guided towards reserved seating for speakers to wait for your invitation up to stage.
- If you arrive after your session has started, you may not be allowed on the stage, subject to discretion from the event producers.
When you go on the stage
- Please follow instructions from the session moderators (or stage manager) and head onto stage when instructed using the steps located on either side. You will either be invited to go straight to a lectern to give your presentation, or to sit at the table on stage for a discussion.
When you are presenting
- There are 2 lecterns on stage; you are welcome to use either.
- On the lecterns you will find a touch screen which gives you control of your presentation. This system allows you to:
- See your current slide, and preview your next build
- Advance and step back through your slides / builds
- Read speaker notes present within your presentation (with ability scroll and change text size)
- Use a virtual ‘Laser pointer’, highlighter and ‘spotlight’ functions to highlight key aspects of your slides
- Draw on or annotate your slides with a variety of colours
- See your remaining presentation time – A clock will count down to 0 and must be adhered to. The session moderators will urge you to keep to time.
- *Optional* ability to pause and ‘scrub’ video files embedded in your presentation.
Note – this feature is activated on request per video – please request this when submitting your files in the Speaker Ready Room. - A full explanation and briefing on the lectern systems can be given in the Speaker Ready Room when you submit your presentations, and a demo system is available for you to practice with on request.
- There are monitors placed in front of the stage, and on the faculty table which show your current slide, plus remaining presentation time.
- You will not be fitted with any radio microphones before going on stage, simply use the microphones situated on the lectern or at each seat on the table. Please ensure you speak clearly into the microphones.
- All questions will be directed to you from the session moderators or live audience – questions will come in via microphones in the auditorium, and via the ‘slido’ Q&A app.
Note – No faculty are permitted to plug in a laptop on stage or hand your presentation to the AV team in the theatres, ALL presentations MUST be submitted in advance via the Speaker Ready Room in the registration area at least 2hrs before your session.
Workshop Presentation Area Faculty
The Workshop Presentation Area is smaller than the main theatres but shares much of the same infrastructure and technology. Presentations must be submitted using the same process described above via the Speaker Ready Room.
When it’s time for your session
- Please arrive in the workshop stage area no later than 15 mins before the start of your overall session and check in with the production team. You will be guided to sit in the front row, or on stage with the session moderators.
- Note – the workshop stage uses a ‘Silent Conference’ system which utilises wireless headphones instead of loudspeakers. To be able to hear proceedings on stage, you must collect a set of headphones from the rack at the rear of the room.
- If you arrive after your session has started, you may not be allowed on the stage, subject to discretion from the event producers.
When you go on the stage
- Please follow instructions from the session moderators (or production team) and head onto stage when instructed using the steps located at the front. You will either be invited to go straight to the lectern to give your presentation, or to sit at the table on stage for a discussion.
- Please take your headphones off when you head on to stage. Faculty are present to ensure you can hear questions from the audience via microphones.
When you are presenting
- There is one lectern on stage.
- On the lectern you will find a touch screen which gives you control of your presentation. This system allows you to:
- See your current slide, and preview your next build
- Easily advance and step back through your slides / builds
- Read speaker notes present within your presentation (with scroll and zoom)
- Use a virtual ‘Laser pointer’, highlighter and ‘spotlight’ functions to highlight key aspects of your slides
- Draw on or annotate your slides with a variety of colours
- See your remaining presentation time – A clock will count down to 0 and must be adhered to. The session moderators will urge you to keep to time.
- *Optional* ability to pause and ‘scrub’ video files embedded in your presentation.

- A simple 2 button remote control is also available, which will allow you control your presentation. Green button will advance forward, red button steps back.
- All questions will be directed to you from the session moderators or live audience – questions will come in via microphones for the in-person audience.
Note – You will NOT be permitted give your presentation to the AV team in the workshop stage, ALL presentations MUST be submitted in advance via the Speaker Ready Room in the registration area.
Subject to prior approval by the event organisers, provision may be made to allow connection of your own laptop at the lectern (this is only possible for long presentation slots with only one speaker per session)
Workshop Room Sessions
The workshop rooms have a basic AV provision included. 2x portable 50” screen are available, which can either display the same signal from an HDMI input, or can display separate signals per screen. (Note – if using separate signals, you must provide each screen with an HDMI output from a device you provide).
1x Laptop is provided in each workshop room, pre-installed with PowerPoint. Presentations may be submitted in advance via the Speaker Ready Room, and if provided, presentations will be loaded onto this laptop in advance for your session start – By default, this laptop will provide the same image to both screens. You may also load presentations directly via USB stick, or you may plug in your own laptop via HDMI. The AV team will be on hand to assist you with this before your session start time.
A remote slide advancer with virtual ‘laser’ pointer facility is provided.
Note – if you use your own laptop and wish to use the remote pointer, software must be installed on your laptop.
If you are providing your presentation via the speaker ready room, please ensure this is submitted at least 2 hours prior to your session time. Presentations supplied after this deadline will NOT be pre-loaded onto the laptop within the workshop room.
A small speaker system is present which will amplify audio from your presentation, which includes a wireless handheld microphone, and a wired desktop microphone. A 3.5mm ‘headphone jack’ lead is also provided to playback audio from a laptop or other device.
Note – the volume of this audio system is limited to avoid disturbance to other sessions running in adjacent areas – the events team may need to adjust volume levels during your session.
